COVID-19 / Pandemic Terms
If there are any complications with travelling or uncertainties arising that may impact us near our tour then we may have an Automatic Postponement of the photo tours and therefore your deposits or full payments carry over until the next year. You will not have to pay any additional fees of a potential 1 to 1.5-year deferral of the trip. If COVID-19 restrictions impact our ability to carry out the tour to 100% of our abilities then we reserve the right to make the executive decision on the collective safety of our group participants/clients.
Postponement
For example: flight restrictions or quarantines in place for our arrival location may cause a 1-1.5 year postponement of the photography expedition. The decision is made by Rock N Roars Photography in accordance with the availability of accommodations and other required vendors to carry out the full expedition as agreed upon.
For example: if there is political pressure to stop airline travel to or from our domestic countries disabling our group to fly out or home, then the trip may be postponed. Due to the nature of different country rules and restrictions, this will be considered on a case by case basis.
Rock N Roars Photography reserves the right to postpone any photo tour for health or safety reasons with travel or operations.
If we are operating the photo tour and you choose to not participate, you forfeit your deposit or any payment and you must go through your travel insurance and not Rock N Roars Photography for partial refunds.
If you contract COVID-19, before your departure and are unable to travel you will have to go through your travel insurance company to be covered for any refund. Rock N Roars Photography has a strict policy to customer cancellations as noted by previous statements.
Full-on cancellations (without postponement option) by Rock n Roars Photography, of any tour, will receive 100% of your payment back minus any processing fees for a credit card or wire transfer. This includes your non-refundable deposit back, and any other payments for the trip, minus a potential processing fee. If there were any other specific tour issues you would be notified well in advance and deposits would be returned – for any abnormalities.
Travel Insurance Requirement:
Obtain travel insurance for the trip so your flight, your hotel (if required for booking), and your deposit are covered under insurance for any issues related to travel.
Cancellation & Payment Policy extractions:
- If you cancel, anytime, the cash deposit is non-refundable.
- The remaining balance is due 120 days prior to departure.
- All payments must be made fully prior to 120 days before departure regardless when the initial deposit was paid.
- If the booking is made with 120 days or less before departure, payment in full is required.
- If full payment has been made: 120 days prior to tour 60% of the payment is refundable, 60-120 days prior to tour 30% of the total payment is refundable and 0-60 days prior no refunds. Rock N Roars Photography is not held responsible for your inability to join the tour whether that is due to sickness, personal /family circumstances, airline troubles, etc. Initial deposits are non-refundable and must be claimed through an insurance claim.
- Payment in full must be made in order to join the tour. No outstanding balances will be managed by Rock N Roars Photography.
Photography Tours
- Should Rock N Roars Photography need to cancel the tour, it is fully refundable, this includes your non-refundable deposit minus 3%. However, if Rock N Roars Photography is postponing the trip due to unforeseen circumstances and/ or pandemic COVID-19 related then your deposit is automatically booking your spot for the following year for no extra cost. For example, flights, applicable hotels before and after, food before and after, visas for trips that do not happen are the clients/purchaser’s responsibility through their own travel insurance.
- Should the customer need to cancel their participation in the tour, the deposit will be always be retained by Rock N Roars Photography as it is non-refundable. If the cancellation notice is less than 60 days from the start of the tour, there is no refund. If the cancellation is between 60-120 days from the tour start date then up to 30% will be refunded. Greater than 120 days is 60% refundable. For the remaining 40%, you may go through your own travel insurance for your own personal cancellation or inability to join.
- In case of flood, tsunami, earthquakes, volcano action, closed roads or storm warning by the local weather reports, we will discuss this with the customer and may agree upon a mutual cancellation if the situation demands it, and / or set another date. Because we might need to cancel for the reasons above, we strongly advise our customers to have complete and well-covered travel insurance for trip cancellation, postponement, health coverage and more. Please note you are welcome to transfer your tour payment amount towards another tour, but only if it is equal to or less than the alternative.
- We will never risk the safety of our customers/clients/guests by going out in adverse conditions that are unpredictable, deemed unsafe by our guides regardless if the tour web page and tentative itinerary suggest otherwise for the daily schedule. We will amend it as needed and disruptions in the schedule may occur.
- If there are major weather disruptions then we may issue a discount for a future tour but never refunds on tours that were in operation.
- Should any elements of the itinerary be unable to execute based on poor weather, an establishments current business state or condition, or any other disruptive situation, alternatives will be provided or equal compensation returned in leu of.
Wildlife Focus Tours
- We never will host a baited wildlife workshop as we deem them to be unethical therefore please understand that wildlife is unpredictable and never guaranteed. We do our very best working with local sources and guides to have intel to where to find and locate wildlife.
- Wildlife sightings quality and quantity are not guaranteed and you may not request a partial nor full refund depending on the lack of wildlife opportunities. Our experience in understanding animal behavior and familiarity to the area highly increases the chances of sightings.
- We do not leave the vehicle in Big 5 game areas unless it is in a designated area or we are escorted with an armed guide on a guided walk.
- If we have bad weather that is deemed unsafe we may have to adjust our itinerary accordingly without warning.
- When wildlife is accessible to our accommodations, respect for distance and proceeding with caution is essential. All animals are wild and can be unpredictable. Animal behavior and approaching animals on foot will be reviewed on the excursion and Gide instructions on walks must be adhered to at all times.
- Indemnity forms must be signed before embarking on any safari excursions.
- You will be expected to fall all instruction, rules, and guidelines outlined for your safety, and for that of the others.
- In the case of photographic hides, Rock n Roars Photography is not responsible for any customers who may miss activities due to fear of the dark or claustrophobia.
Workshops/Expeditions/Photo Tours are all synonymous
Unless otherwise stated in the description of the workshop, the following cancellation policy applies for our workshops/tours:
- A non-refundable cash deposit is required to reserve your space in the workshop, or you may pay in full.
- The remaining balance is due 4 months prior to departure. The remaining balance due 120 days before departure. Regardless of the date of initial deposit, all remaining balance must be paid in full 120 days before departure. If you book within 120 days of the start date, the full price is due to reserve your spot.
- If the remaining balance is not paid in full, your space will be forfeited without any refund – you will not be allowed to participate: use of the accommodations, safaris or have any meals if you haven’t paid in full.
Refunds: If we do not meet the minimum number of participants and need to cancel, you will of course be fully refunded including your non-refundable deposit.
All guest cancellations are subject to a minimum of a 3% service charge and subject to the terms for payment schedule.
For your information:
- Accommodation and food are not 100% included in the price unless it says so in the description. Most of our tours food and accommodation are included but not before or after a tour ends.
- Travel insurance is not included in the price, so customers are advised to have personal travel insurance.
- Before you start the tour, be sure to have email contact with us and whatsapp communication .
- Alcohol is not included unless specifically noted and guests cannot participate in wildlife safaris if they are under the influence or hungover.

- In case of a hotel pickup, please be sure to leave us the information regarding the hotel you are staying at.
- If you have any complaints or comment, please let us know as soon as possible via email. We value all comments and will make an effort to better ourselves where needed.
Privacy Policy:
- We respect your privacy and do not tolerate spam. We will never sell, rent, lease or give away your information (name, address, email, etc.) to any third party. When you sign up for our tours, website, or communicate with us you are opted in to our newsletter and communication. If you would like to unsubscribe please do so on the bottom of an email with the click of a button
Terms of payment:
- We accept payments via Visa / Mastercard upon request with a service fee of 3% attached but initial deposits must be made in cash – all taxes are included unless otherwise noted. Wire transfers are accepted but clients must cover the exchange rates and transfer fees as applicable. In Canada, email transfer is acceptable and preferred. For US currency, cheques may be made payable to Jen Kucherawy, allowing at least 2 weeks for delivery.
Other:
- Rock N Roars Photography and their respective guides/photographers reserve(s) the right to take photographs or videos during the operation of any expedition or part thereof and to use the resulting photography for promotional purposes. By making a reservation with Rock N Roars Photography, participants agree to allow their images to be used in such photography; participants who prefer that their image not be used are asked to identify themselves to their guide at the commencement of their trip.
